Workplace wellbeing and the burden of internal reporting

Estimated 2 minute readFor boards2 sources

Internal reporting should earn its place in the working week by supporting a decision, a control or a clearly defined obligation.

The performance question

A report can survive for years because nobody is quite certain who would object if it disappeared. Each individual request looks modest. Together they create a private tax on attention, usually paid by the people who also have operational work to complete. Corporate wellness discussions often overlook this demand because reporting appears orderly and therefore respectable. Yet a business that asks for the same information in several formats may be purchasing the appearance of control at the expense of the people expected to exercise it.

What the evidence supports

HSE guidance on workload recommends understanding task demands and staffing capacity, while its role standard addresses compatible responsibilities. These support reviewing administrative demands as part of the job. They do not suggest that reporting is intrinsically wasteful or that a document can be removed without considering legal, regulatory or operational requirements. The appropriate question is whether the information is necessary, who uses it and whether the collection process is proportionate to the decision it supports.12

A practical approach

Choose one recurring report and trace it from request to use. Ask the recipient which decision changes because the report exists and what level of detail is genuinely needed. Identify duplicate inputs, manual reformatting and requests that arrive too late for the normal cycle. Trial a simpler version only with the relevant owner’s agreement. Preserve required controls and records. Give the people producing the information a way to challenge new fields before they become permanent. A request should include a purpose and an owner, not acquire legitimacy merely through repetition.

How to review progress

Review production time, corrections and whether recipients still have the information they need. Ask whether removed work has quietly reappeared in messages, meetings or another spreadsheet. Track the capacity released without automatically translating it into cash savings. The useful outcome may be better preparation for a customer decision or a more dependable finish to the day. Reducing unnecessary reporting is not an argument against accountability. It is a way to ensure that the effort devoted to describing work does not become an obstacle to doing it well.
